Position Summary: The Program Implementation Project Manager is responsible to provide project management oversight to implement new hospital programs in an efficient and successful manner. This position assesses client requirements to determine the scope of the project, sets critical milestones in collaboration with internal stakeholders, and manages the project timeline and schedule. This position will be responsible for managing multiple program implementation projects at one time.

Program Implementation – Coordinates initial program implementation activities
Develops a program kick-off presentation for each new on-boarding program
Coordinates a kick-off call with appropriate internal stakeholders and hospital representatives. Distributes necessary logistical information and reference materials
Attends all kick-off calls to obtain necessary information for program implementation; takes and distributes meeting minutes
Assesses overall project timeline based on all relevant variables and determines target dates for achieving critical milestones
Assists Operational Leadership to ensure a successful OBED site visit by:
Scheduling the visit – communicates which stakeholders from the hospital should participate and coordinates the logistics and schedules accordingly with OBHG representatives
Participates in site visit meetings to obtain necessary information relevant to program implementation
Takes meeting minutes
Prepares Site Visit Report
Project Management - Coordinates and oversees all aspects of a program implementation to ensure it is completed on-time
Initiates the project plan and maintains updates as they occur. Completes assignments on the project plan as needed and directed
Schedules and leads implementation calls and provides agenda for each call to all attendees. Takes meeting minutes, updates the project plan, and distributes to appropriate stakeholders
Works closely with Operational and Clinical Leadership as well as other stakeholders to ensure appropriate follow-up of project implementation activities and manages the project schedule. Provides administrative and logistical support including meeting arrangement, progress tracking, and reports
Assists in managing hospital partner expectations on activities related to program implementation; clearly and thoroughly communicates necessary action items to meet critical milestones
Organizes project documents, reports, and related documents, maintaining version control
Uses facilitation skills in working with leaders and team members on projects in a manner that ensures ownership and commitment is maintained by team members
Prepares reports for stakeholders regarding the status of program implementations. Clearly communicates obstacles and challenges that may prevent a program from launching by target start date and makes recommendations for course correction to avoid slippage
Ensures go-live celebration for the OBHG support team is scheduled
Prepares announcements for new program go-live events
Utilizes appropriate project management and reporting tools including Gantt charts to clearly communicate each program implementation status including critical milestones and percentage completion of tasks
Responsible for utilizing and creating documents/deliverables necessary for providing exceptional services and ensuring communication of the project plan to various stakeholders
Updates the Customer Relationship Management database with pertinent operational data regarding hospital partners
Collects necessary data and contacts for hospital orientation coordination
Compiles data from various sources; cleans and formats data into meaningful reports (Onboarding Program Status Report, Executive Leadership Team dashboard reports); updates reports as needed.
Works over time when required.
Other duties as assigned.
Certified Associate in Project Management (CAPM), Project Management Professional (PMP), or other equivalent project management certification required
Two to three years of project management experience required
Experience with project management software solutions required
Excellent critical thinking, independent decision making/judgement, and advanced problem-solving skills
Ability to conduct analysis and troubleshoot data; initiative to make recommendations and take corrective measures when a potential issue is detected that threatens to delay the timeline or impact the project implementation
Must be self-driven and able to produce high quality work with urgency and minimal direction
Exceptional organizational skills with the ability to maintain accurate and up-to-date project plans
Able to demonstrate an attention to detail; carefully manages project timelines and persistently pursues open items and completes tasks
Ability to multi-task and prioritize workload in a fast-paced environment
Ability to manage multiple clients and projects/tasks simultaneously
Excellent written and oral communication skills
Strong knowledge of Microsoft Word, Excel, PowerPoint
Strong interpersonal skills - is service oriented and able to build relationships with people in other functional areas and all levels of the organization, both internally and externally
This position will support central and west coast operations. Ability to work hours aligned with central and west coast time zones is required.
Bachelor’s Degree (B.A.) from a four-year college or university
Experience working with clinicians and/or hospitals is desirable
Telecommuting is allowed.
